Read the letter before you send it. Change anything — it is your letter. Send it from your own email, keep the copy in your language beside it, and diary the reply window.
If it stays contested: the pack assembles from your own file — statement, their arguments with your answers, the bundle. Rehearse it out loud, in English, against your own-language copy.
Dates in everything — an undated fact is a weak fact, no matter how true. And never let an ignored letter be the end: the follow-up system exists because most people lose by giving up after one unanswered email, not by being wrong.
